Information collection and use
Where we collect information
Informatiq Consulting Ltd. (hereafter referred to as Informatiq) is the sole owner of the information collected on Informatiq Online. Informatiq collects information from our users at several different points on the website which are detailed below. All personal information collected is submitted voluntarily by users. Aggregated information (for example, the number of users applying for a specific type of role) will only be used by Informatiq to improve our services and is not shared with any 3rd party company. Users are therefore free to visit and browse the site without Informatiq collecting any personal information from them.
Points of Collection
User registration
In order to access the Registered Users' menu that provides the ePrompt
and application management functions, a user must first complete the
online registration form. During registration a user must provide their
email address and full name. We use this information to contact the user
about services and/or vacancies on our site for which they have expressed
interest. The user must also provide a unique identifier in the form
of a password that will allow you to access your personal Informatiq
Online account on return visits.
Application for a vacancy or vacancies
We request information from the
user on our vacancy application form. A user must provide their full
name and email address as contact information. Users may choose to include
their home, work &/or mobile telephone
numbers which are also used for contact purposes only. The user
may also choose to include a covering letter; additional information
provided in the covering letter will be used by our consultants for recruitment
related purposes only. The user must also include a copy of their
curriculum vitae (CV). The information contained therein will be available
only to Informatiq, will be used only for recruitment related purposes
and will be treated in strict adherence to the current UK Data Protection
Act. A user's CV will only be released to a 3rd party organisation
(prospective employer) with the explicit prior consent of the user.
Client services - Request phone call and contact form
We request information
from the user on our Request phone call page and our contact
form. Specifically, a user must provide their full name, email
address, company, job title and telephone number to be used for
contact purposes only. The user may choose to include a cover letter;
additional information provided in the covering letter will be
used by Informatiq for recruitment related purposes only.
How we use information
Profile
The personal information collected by Informatiq on Informatiq
Online is only used for recruitment related purposes i.e. to find
jobs for staff, or staff for jobs. None of this information is disclosed
to third parties. Any aggregate demographic information will only
be used for recruitment related purposes or peripheral uses such
as advertising and marketing.
Cookies
A cookie is a piece of data stored on the user's computer tied
to information about the user. Usage of a cookie is in no way linked
to any personally identifiable information while on our site. We
use both session ID cookies and persistent cookies. For the session
ID cookie, once users close the browser, the cookie simply terminates.
A persistent cookie is a small text file stored on the user's
hard drive for an extended period of time. Persistent cookies can be
removed by following Internet browser help file directions. Further
information about cookies can be found here.
We use persistent cookies for two functions of Informatiq Online. When logging in as a Registered user, if users check the 'Remember me' box then a cookie is stored on their hard drive that will remove the need for reentering the log in information at each visit. If a user adds a vacancy or vacancies to their 'Job cart' and leaves the site before applying, a cookie will be stored on their hard drive that will retain the contents of the cart for a period of 30 days. This cookie is deleted once a vacancy or the vacancies have been applied for or once the cookie expires.
Log files
Like most standard Web site servers we use log files. This
includes internet protocol (IP) addresses, browser type, internet service
provider (ISP), referring/exit pages, platform type, date/time stamp,
and number of clicks to analyze trends, administer the site, track users'
movement in the aggregate, and gather broad demographic information for
aggregate use. IP addresses, etc. are not linked to personally identifiable
information.
Communications from Informatiq Online
Welcomes, reminders and application
confirmations
We send all new registered users a welcome email to verify
their password. We will also send Registered Users email reminders
of their password when requested through the site and confirmation
of any vacancy applications the user submits.
ePrompt™
If a user wishes to subscribe
to our ePrompt™ service, we ask
for contact information such as name and email address (obtained
at the user registration stage). The user will also need to submit details
of both the type/s and location/s of the job they seek.
Service announcements
On rare occasions it is necessary to send out a
strictly service related announcement. For instance, if our service is
temporarily suspended for maintenance we might send users an email. Generally,
users may not opt-out of these communications, though they can deactivate
their account. These communications are not promotional in nature.
Contact requests
We will communicate with users to provide requested
services and information via email, telephone or post, in accordance
with the users wishes. Users requesting contact on issues other than
specific job applications will need to submit their full name, email
address, company, job title and telephone number. They may optionally
include a covering letter, which may include the user's postal address.
Sharing
Legal Disclaimer
Though we make every effort to preserve user privacy, we
may need to disclose personal information when required by law wherein
we have a good-faith belief that such action is necessary to comply with
a current judicial proceeding, a court order or legal process served on
our web site.
Aggregate information (non-personally identifiable)
We do not share aggregated
demographic information with any third party but will use it for
internal purposes. This aggregated information is not linked
to any personally identifiable information.
Personal information
We DO NOT share personal information with third parties.
Business transitions
In the event that Informatiq goes through a business transition,
such as a merger, being acquired by another company, or selling a portion
of its assets, users' personal information will, in most instances,
be part of the assets transferred. Users will be notified via both email
and a prominent notice on our web site for at least 30 days prior
to a change of ownership or control of their personal information. If as
a result of the business transition, the users' personally identifiable
information will be used in a manner different from that stated
at the time of collection they will be given choice consistent with our
notification of changes section.
User choice
Users who no longer wish to receive any communications from
Informatiq can have their details deleted
from the Informatiq Online database. ePrompt users can stop receiving
any further email alerts thought the 'Manage My ePrompts' section
of the web site.
Surveys
From time-to-time Informatiq Online requests information from users
via surveys. Participation in these surveys is completely voluntary and
the user therefore has a choice whether or not to disclose this information.
The requested information typically includes demographic information.
Anonymous survey information will be used for purposes of monitoring
or improving the use and satisfaction of this site and Informatiq's associated
recruitment services. Users' personally identifiable information is not
shared with third parties unless we give prior notice and choice.
Vacancy send to a friend
If a user elects to use our referral service for informing a friend
about a vacancy, we ask for both the user's and friend's name and
email address. Informatiq Online will automatically send the friend a one
off email inviting them to visit the site, with a link that will take them
directly to the referred vacancy. Informatiq does not store this
information and will use it for the sole purpose of sending this one off
email and to track the success of our 'Send to a friend' program.
Information security
Informatiq takes every precaution to protect our users' information. When users submit personal information via Informatiq Online, their information is protected both online and offline.
All personal information is kept outside any web routes, protecting the path from ever being 'guessed' by curious browsers. Our database is 'industry strength' SQL Server. Our server is maintained, updated and backed up by Worldcom/UUnet and regularly patched. The server is held in a secure environment within a locked facility.
All of our users' information is restricted in our offices. Only employees who need the information to perform a specific job (e.g. consultants for the purposes of recruitment) are granted access to personally identifiable information. Our employees must use passwords to log in to the network and again, using a different password, to access the database holding the user information.
Furthermore, ALL employees are kept up-to-date on our security and privacy practices. Every six months, as well as when new policies are added, our employees are notified and/or reminded about the importance we place on privacy, and what they can do to ensure our users' information is protected.

Supplementation of information
Candidate/Client history
Informatiq will use any archived information
on our database in combination with any submitted by the user to Informatiq
Online for recruitment related purposes and to provide a higher standard
of service to the user. We will only obtain personal information from
external sources should employer &/or
personal references be required and only with the explicit prior
consent of the user.
Updating or deleting personal information
If a user's personally identifiable information changes,
or if a user no longer desires our service, we provide a way to update or delete the users' personally identifiable information. Alternatively,
this can be done by sending an email requesting an update or deletion
to webmaster@informatiq.co.uk.
Notification of changes
If we decide to change our privacy policy, we will post those changes
to this privacy statement, the homepage, and other places we deem appropriate
so our users are always aware of what information we collect, how we
use it, and under what circumstances, if any, we disclose it. We will
use information in accordance with the privacy policy under which the
information was collected.
If, however, we are going to use users' personally identifiable information in a manner different from that stated at the time of collection we will notify users via email. Users will have a choice as to whether or not we use their information in this different manner. However, if users have opted out of all communication with the site, or deleted/deactivated their account, then they will not be contacted, nor will their personal information be used in this new manner. In addition, if we make any material changes in our privacy practices that do not affect user information already stored in our database, we will post a prominent notice on the website notifying users of the change. In some cases where we post a notice we will also email users, who have opted to receive communications from us, notifying them of the changes in our privacy practices.
